Contacts
Notes and Search
Notes and search help teammates find the right person, understand recent context, and take action without memorizing phone numbers.
Before you begin
- Create contacts for important callers.
- Use notes for durable business context, not temporary chat.
- Keep phone and email fields current.
Where to find it
Use Phone -> Contacts for contact search and contact notes. Use Messages and Calls search for communication history.
Step-by-step
- Open Contacts and search by name, email, or phone number.
- Open a contact detail page to review or edit notes.
- Use Calls search when looking for a recent call by name or number.
- Use Messages search when looking for a conversation.
- Update the contact after a correction so future calls match correctly.
- Use Call or Message actions from the contact when ready to follow up.
What happens next
- Contact notes stay attached to the contact record.
- Search results depend on the data stored in contacts, calls, and conversations.
- Permissions can limit whether you can edit contact notes.
Best practices
- Write notes that another teammate can understand later.
- Avoid sensitive details unless your internal policy allows them.
- Use consistent naming for companies, locations, and recurring customers.
Troubleshooting
- If search does not find someone, try digits from the phone number.
- If notes are read-only, check contact write permission.
- If two contacts match the same caller, merge or clean them through your team process.
